Committee Roles

 

As a registered charity and part of the NAGC, Herts Explorers has a formal structure with defined roles allocated to volunteer people. To see the list of people currently occupying these roles, visit the About Us page. Detailed role descriptions are provided at the bottom of this page - a summary follows:

 

Chairperson

  • Communicate information between Head Office and the group.
  • Arrange and manage regular committee meetings and the AGM
  • Present an annual review of the year.

Secretary

  • Assist the Chair with organising meetings and the AGM
  • Take and manage minutes for committee meetings and the AGM.
  • Assist other members with communications if required.

Treasurer

  • Track and manage income, payments and expenditure.
  • Keep records of transactions and Bank accounts.
  • Produce Annual Accounts for Head Office + a report at the AGM.

Programme / Activities Co-ordinator

This role is a big one and is often shared

  • Research, and decide on each meeting's activities for children and adults.
  • Create and maintain links with previous and potential activity providers.
  • Ensure activity providers' needs are catered for and they know what to expect.
  • Ensure activity providers are CRB checked, insured and any risks are assessed
  • Evaluate each meeting activity for future reference.

Branch Contact/Membership Secretary

  • Receive and deal with incoming communications of all kinds.
  • Provide members with details of activities and other relevant information
  • Manage new members, membership records, changes and renewals.
  • Liaise with other branches, Head Office, and other organisations
  • Obtain requisite stationery.

Marketing Co-ordinator

  • Designing, printing, distributing flyers and other marketing output
  • Ensuring that membership and activities are advertised in as many schools and other children-centric locations as possible.

Designated Child Protection Person (DCPP)

  • Ensure that the NAGC Child Protection Policy is followed
  • Ensure that all committee members and activity providers are CRB checked.

Webmaster

  • Maintain the website ensuring that the latest activity and commitee information is posted.

Quartermaster

  • Manage the inventory of games and activity equipment.
  • Ensure games/activities are provided at each meeting and stored afterwards.
